2. Account & settings
Your Settings hold everything about your business on Suplery β your company details, licenses, payment cards, tax exemption, and where your orders are delivered. Open Settings from your avatar in the top-right corner. You'll see four tabs: Company, Licenses, Payments and Taxes, and Delivery. This article walks through each one. If you get stuck anywhere, there's a Contact support link at the bottom of every tab. π¬ Looking for your own name, email, or password? Those live in your personal account, not here β open the avatar menu and choose Your account. See Your account & your businesses. How saving works Each tab saves on its own. When you change a field, a Save [tab] settings bar appears and stays in view as you scroll. Click it to save β you'll see a "Settings successfully saved" message. π¬ Leaving a tab with unsaved changes? Suplery will ask whether to save or discard them before you move on. If you leave without saving, those changes won't be carried over β they're lost. β οΈ Some company details are re-checked for security before they take effect β your legal name, EIN, company name, services, photos, social links, description, licenses, and exemption certificate. After you save one of these, you'll see "will be updated soon after a little checking," and you'll get a notification once it's applied (all, some, or none of the changes), along with any note from our team. If you change a field and then set it back to its original value, the re-check is cancelled. Company tab Legal company information (Beauty business only) - Legal name β your officially registered business name. It must match your U.S. government records. - EIN β your business's nine-digit federal tax ID from the IRS. Company profile These details are shown to the suppliers you order from, so it's worth filling in as much as you can β a complete profile helps brands trust you. - Company name β your display name on orders and connection requests. - What services do you provide? β the services your business offers. - Photos of your establishment β show off your space. - Instagram and Facebook β links to your profiles. - Company description β tell brands your story and what you stand for. π¬ Want to change which products you see in the Shop? Your services here shape your recommendations, but you can fine-tune what appears on your Shop homepage separately β and that change doesn't need a re-check. See Personalize your Shop. Licenses tab This is where you keep your business and professional licenses up to date. - Business licenses (Beauty business only) β a business license is the state-issued permit that lets your company legally operate, and it confirms to Suplery that you're a real beauty business. Some states don't issue one at all β if yours doesn't, you won't be asked to add it. - Professional licenses β required to buy on Suplery. A valid professional license unlocks the whole catalog, not just professional-only products. Add one for each licensed professional. For any license, you only upload a photo or file β Suplery reads the state, number, and dates for you. There's nothing else to type. β οΈ Keep your licenses current. If one expires, you'll see a red badge on the Licenses tab, and you may lose access to some products until you upload a valid one. π¬ Can I edit or delete a license? You can remove a license only while it's still being verified. Once it's verified, upload a new file to replace it. Payments and Taxes tab This tab holds your payment cards and your sales tax exemption certificate. Payment methods - Add a payment method β Suplery accepts US-issued cards only (Visa, Mastercard, Discover, or American Express), added securely through Stripe. Your first card becomes your default. - Manage any card from the "β¦" menu: Make default, Disable or Enable for future orders, or Delete. β οΈ A few rules when removing a card: - To delete your default card, make another card the default first. - You can't delete a card tied to an order that's still in progress β wait until that order is canceled or paid. - To delete your only card, contact support. - Expired cards are flagged and can be removed anytime. π¬ Who can see my cards? Any teammate with access to Settings can manage payment methods (see Users & permissions). Card details are always masked, though β only the card identifier is shown, never the full number. π¬ Why can't I add my card? It's most likely not a Visa, Mastercard, Discover, or American Express card, or it was issued by a non-US bank. If neither is the case, contact support and we'll help you sort it out β and please never share your full card number with anyone. β οΈ You can add payment methods once your business is verified. Before that, adding is limited. Exemption certificate A sales tax exemption certificate is an official document, issued by your state, that lets your business buy products for resale without paying sales tax on them. If you have one, add it here so eligible resale products aren't taxed. To add it, just upload a photo or file β Suplery reads the number, state, and dates for you. You can add more than one if you're exempt in several states. π‘ Not sure whether you have one, or which form you need? Ask your accountant, or check your state revenue service's official website for the correct form and its requirements. β οΈ Suplery only accepts certificates that meet your state's rules. Please don't upload any other type of document as an exemption certificate. π¬ Why am I still charged tax even with a certificate? Exemption applies to products you resell. Products marked Professional (for use in your services, not for resale) are always taxed. Delivery tab Default delivery address Set the address your orders ship to. You can add, change, or delete it anytime. - Address - Suite / Floor / Unit - Delivery instructions β e.g., "Leave at the back door." - Contact phone β οΈ Your delivery address must be in a state where you hold a valid license (business or professional β even an expired one). If it isn't, you'll see "Delivery is possible only in the state where you have verified licenses." This is the same rule that applies at checkout; see Order from the Shop. π¬ Your delivery details are shared with the delivery service to fulfill your orders, in line with our Privacy Policy and Terms of Use. The phone number you provide is used only to reach you about an order or a delivery issue. Delivery signature Turn on Delivery signature is required if someone must physically sign for your deliveries. If no one's available at the address, the carrier may reattempt delivery β surcharges may apply. Danger zone β delete your company account π« Delete company account removes your entire company from Suplery. It's permanent and can't be undone: only the account owner can do it (your password is required), and all users lose access. Other team members see this option disabled. π¬ I only want to delete my own user account. Contact support. The owner's account can be deleted only together with the whole company β so if you want to keep the company running, transfer ownership first (see Users & permissions). FAQ π¬ Why did my change say it's being checked? Some company details are re-verified for security. You'll get a notification once they're applied. π¬ How long does deleting my account take? Inventory keeps your stock accurate β so you always know what you have, what you've used, and what to reorder. You'll find it under Inventory, where three tabs organize everything: Products, Stocktakes, and Suppliers. This article covers the Products tab, your stock. For the other two, see Stocktakes and Suppliers management. Your products list The Products tab lists every product you've bought. Each one reads as Brand Β· Series Β· Product Β· Qty Γ Units β so a pack shows in the name (for example, 10 Γ 0.3 ml) rather than being split into separate items. Alongside each product you'll see its In stock count, the Last purchase price, and the MSRP. To find a product: - Browse the category tree on the left β it shows only the categories you actually have products in. - Filter by brand, or search by product, brand, or series name. π¬ Some products are marked professional β they're meant for use in treatments, not resale. These show no retail price, and you can't sell them. Add products to your inventory There are two ways to get products into your inventory. Pick them from the catalog 1. On the Products tab, click Action β + Add products in inventory. 2. You'll see every Suplery product that isn't in your inventory yet. Search, or sort by brand and type, to find what you need. 3. Select the products. The header checkbox selects everything in the current results. 4. Click Add [X] products to inventory. Can't find a product? Use Couldn't find product at the bottom of the list to ask our content team to add it. Let an order add them for you Products are added to your inventory automatically when you receive an order β whether it's a Suplery order or an External orders order. No manual step needed. Keep your stock accurate Your In stock numbers should always match what's really on your shelves. They update on their own when you receive an order or run a stocktake β but when you need to adjust by hand: 1. Find the product and click + to add or β to remove. 2. Enter the quantity. 3. Pick a reason. 4. Save. The reasons available depend on which way you're adjusting: - Adding stock: Return or Other. - Removing stock: Internal use, Sell, Damaged, Expired, Lost, Returned to supplier, or Other. β οΈ Without the Inventory role, you can only remove stock as Sell or Internal use, and add it back as Return. Professional products never have a Sell reason. The product panel Click any product to open its panel, where you'll find everything about it β name, image, ingredients, barcode, how-to-use directions, and its other characteristics β and where you can adjust stock too. It looks like the product view in the Shop, so your stock and the catalog feel like one place. You can't edit a product's information yourself; if something looks wrong, contact us and we'll fix it. π‘ Sets can be handled either way: keep or resell a set whole, or split it into its individual products when you use them up one at a time in treatments. Stock history Every product keeps a full history of its stock changes. Open the product and choose Stock history to see, for each change: the date, the reason (order, stocktake, sale, and so on), who made it, the quantity, the stock level afterwards, and the other products in that operation. Change the date range to focus on a period. The adjustments you'll see: | Adjustment | Effect | | -------------------- | ------ | | Order | + | | Return | + | | Stocktake | + / β | | Other | + / β | | Sale | β | | Internal use | β | | Damaged | β | | Expired | β | | Lost | β | | Returned to supplier | β | To change or cancel an adjustment, click it in the stock history and edit the date, type, or amount β or delete it β in the Edit adjustment panel. π¬ Seeing Upcoming instead of a date? That product is on an order you've placed but haven't received yet β a quick way to see what's on its way. Archive a product you no longer use 1. Open the product and click Action β Send to archive, then confirm. 2. To see archived products later, turn on Show archived in your list. 3. To bring one back, open it with Show archived on and click Action β Restore from archive. π¬ Archived with stock means a product you archived still appears because you have some left. You can keep using it, but you can't reorder it. Reduce its stock to zero to remove it from your list completely. Reordering and low-stock alerts Your list flags products that are at risk of running out so you can act before you hit zero. Low-stock alerts, demand forecasts, ready-made reorder carts, and scheduled orders are a feature in their own right β see Plan & schedule orders. Invite a product's supplier to Suplery If a product's supplier isn't on Suplery yet, open its panel and use Invite to Suplery to ask them to join, so you can order from them directly. More on this in Suppliers management. FAQ π¬ Why can't I sell a particular product? It's marked professional by the supplier β those are for use in treatments only, not resale. π¬ How do I change or delete a stock adjustment? Open the product's Stock history, click the adjustment, and edit or delete it in the Edit adjustment panel. π¬ Why does a product show "Upcoming"? It's on an order you've placed but haven't received yet. π¬ Why is the price or MSRP cell empty? For an external order you may not have entered an MSRP, and professional products show no retail price. At Suplery, we value trust and security. The Suplery Marketplace is a platform for business clients, and it connects brands and suppliers to beauty product retailers and beauty businesses like beauty salons, cosmetology clinics, barbershops, SPAs, and others. To ensure everyone has a positive experience, we ask businesses to confirm they are authorized before joining the marketplace. Getting started is easy! The setup itself just involves confirming legal company information to ensure everyone on the marketplace is verified. Once we confirm your information, the setup page will disappear, and you'll be good to go! You can still manage your inventory and users even without completing the setup process. Email verification Ready to verify your business? First, confirm your email address. This ensures you receive important notifications from us. We automatically send a confirmation email right after registration. Look for it in your inbox and follow the instructions to activate your account. Once you click the link, you'll see a confirmation message, and you'll be ready to fill out the verification form! Didn't get the confirmation email? Please, check your spam folder first. If it's not there, simply click Resend confirmation link on the setup page. We'll send you a new one! How to fill in legal company information To start ordering and connect with suppliers, fill out some legal information about your company. This helps us create the best connections between verified suppliers and beauty businesses like yours. No need to rush! We automatically save your progress as you fill out the form. So even if you close the page or accidentally reload, your data will be there waiting for you. Legal name and Doing business as First, fill in the required fields for Legal name and Doing business as (DBA). Note: - Legal name should exactly match the name on your official government registration documents. - If your customers know you by a different name, enter it here. This is optional, but required if you have a confirmed DBA. If you leave it blank, your display name will match your legal name. You can find your DBA name on official business documents. Employer identification number Fill in your Employer identification number (EIN). This is also known as your Federal Tax Identification Number. It's a unique nine-digit number assigned by the IRS to businesses in the United States. Company registration state Please select your company's registration state from the dropdown menu. Knowing your business registration state helps us: - Identify any required licenses for your business. - Ensure we follow the correct sales tax regulations for your purchases. - Streamline the shipping process. Business license To ensure a safe and secure environment for everyone on marketplace, we need to verify your business license. This helps us confirm you're a legitimate beauty business. How to add a business license: 1. Click Add business license. A new window will appear. 2. Choose your state from the drop-down menu. 3. Enter your license number and end date (or tick Perpetual if it doesn't expire). 4. Upload a clear photo or scan of your license. Make sure all the data is readable. 5. Click Save license. The state of company registration and the state of the active business license must match. Please make sure the states match before proceeding. Professional licenses For some beauty products, safety and regulations require verification of a professional license. This ensures qualified professionals have access to the products they need, while keeping everyone safe. Do you have a professional license related to beauty services (e.g., barber, cosmetologist)? If so, you can add it here for a smoother experience. This allows you to purchase products that may require a license. 1. Click Add professional license. 2. Choose your state from the drop-down menu. 3. Enter your license number, expiration date, and the name of the licensed professional. 4. Upload a clear photo or scan of your license. Make sure all data is readable. 5. Click Save license. Can I add multiple professional licenses? If the company employs several professionals with licenses, you can add them. Just click Add professional license again. Exemption certificate If your business is exempt from sales tax, you can upload your exemption certificate here. This ensures you comply with local tax laws and avoid unnecessary charges. In order to receive it, you must be registered with the state as a sales taxpayer. If you do not have a certificate confirming this, contact your local revenue office. 1. Click Add exemption certificate. A new window will open. 2. Select the state, number, date of start, and expiration of the license. 3. Upload a photo or scan of the exemption certificate. Please make sure that all the text on the photo can be easily read. 4. Click Save license. Can I continue without an exemption certificate? Yes, you can continue setting up your account now and upload the certificate later in your settings. How to fill in company profile When you place an order, suppliers take a peek at your business profile. By providing a few key details, you can connect with brands that are a perfect fit for your business. Why it matters: many professional suppliers care about their reputation and work with businesses that share their values. A well-crafted profile shows you're a serious player and helps attract suppliers who can provide the products you need to succeed. Provided services Choose the services you offer from the provided list. This helps both us and suppliers understand your business and recommend the most relevant products. Think of it this way: if you specialize in manicures, wouldn't you prefer recommendations for new nail polishes instead of beard trimming products? Selecting your services ensures suppliers suggest the perfect products for your needs. Simply choose all the services that apply to your salon from the drop-down list. I can't find the service I provide If you can't find the specific service you provide in the list, simply click Couldn't find service type. This will open a window where you can easily send us a suggestion. We're always happy to hear from you and will do our best to add new services as needed. Photos of your establishment Showcase your salon's style and equipment to attract the perfect suppliers for your needs. Upload up to 10 photos to give suppliers a glimpse of your amazing space. Click Upload to select them from your computer. Photo tips: - Include a mix of close-up shots to show details and wider shots to capture the overall atmosphere. - Use clear, well-lit photos with minimal edits. - File size: max 7MB each - Allowed extensions: .jpeg, .jpg, .png If you've uploaded a photo you don't like β just hover over it and click the delete icon. Links to Instagram and Facebook profile Simply paste the URLs from your social media profiles in the designated fields. Company description Your company description is a powerful tool for attracting suppliers who share your vision and values. Many suppliers, particularly those in the eco-conscious beauty space, prioritize working with businesses that align with their mission. Here are some tips to keep in mind when writing your company description: - Highlight your unique selling proposition (USP) and the benefits suppliers will gain from partnering with you. Do you have a loyal clientele or a focus on innovation? Let them know! - Clearly state your company's mission statement. This will give suppliers a clear picture of your purpose and core values. - Do you have any awards, recognitions, or positive client reviews that showcase your success? Including this information adds credibility and social proof to your description. - Add images, headings of different nesting levels, bold, italic text, and numbered and unnumbered lists to make text easier to read. What happens after company information is sent? Once you've filled in all your details, click Submit application. We'll carefully review your information and get back to you soon. Here's what to expect next: - If everything looks good, we'll send you a confirmation message letting you know you're all set! - If we have any questions or need a bit more information, you'll also see a message on your screen. How do I change the data after I have submitted it? You can update the information while it is under review. To do this, click Check sent data, enter the necessary details, and click Update data. Company verification failed If there are any discrepancies in the information you provided, your application will show a Company verification failed status. Don't worry, this status will include a detailed explanation from our team outlining the specific data missing or any errors found. To resolve these issues and complete your verification, simply make the necessary changes as outlined in the explanation and click Resubmit application. Successful company verification Congratulations! Your setup is complete. Now you can unlock the full potential of Suplery! Head over to the marketplace and place your first order. Your Suppliers tab keeps everyone you buy from in one place β suppliers on Suplery and suppliers you work with outside it. From here you can find a supplier, see their details and order history, message them, and keep your own records tidy. You'll find it under Inventory β Suppliers. Suplery suppliers vs external suppliers There are two kinds of supplier in your list: - Suplery suppliers are suppliers you buy from directly on Suplery β you browse their products, order, and message them all in one place. They appear in your list automatically once you've placed an order with them, and they're marked with the Suplery icon. - External suppliers are suppliers who aren't on Suplery. You add them yourself so you can keep their details and record the orders you place with them elsewhere. They have no icon. Why add your external suppliers Adding the suppliers you already work with off Suplery keeps everything in one tool: - One complete record of every purchase β on Suplery or off it. - Each supplier's order history and the last price you paid, ready when you need them. - A single place to understand your buying across all your suppliers, instead of digging through emails and spreadsheets. Add an external supplier 1. Click Add external supplier. 2. Enter the supplier's Company name β the only required field. Filling in the rest now makes life easier later. 3. Add any of the optional details: - Address and average delivery time. - Customer account ID β the ID this supplier uses to identify your business (a customer code, account number, or buyer ID). Suplery includes it on the purchase orders it sends them. - Contact info β name, phone numbers, email, website. - Notes β anything you want to remember about this supplier. 4. Click Create supplier. Their drawer opens, ready for you to create orders or invite them to Suplery. To change a detail later, open the supplier and edit the field you need. Find a supplier Your list shows every supplier β Suplery and external β with their status, contact person, and last order date. Searchby company name or contact-person name; results are listed alphabetically. The Show archived option appears once you have at least one archived supplier. What the status means The Status shows where your relationship with the supplier stands: - Active β you can order from them. - Waiting for approval β you've sent a connection request and the supplier hasn't responded yet. - Declined β the supplier turned your request down. - Blocked β the supplier, or Suplery, has blocked the connection. - Accepted invitation β you invited them and they accepted, but they haven't finished setting up yet, so you can't order from them yet. - Archived β you've set them aside. Open a supplier Click a supplier to open their details. Alongside their information you'll find tabs: - Orders β every order with this supplier, with date, status, and total. For external suppliers these are your external orders; for Suplery suppliers, your Suplery orders. The tab defaults to the last year, and you can change the range or search by order number. - Products (Suplery suppliers) β the products you've bought from them and the last price you paid, taken from your most recent order. For Suplery suppliers you'll also see the manager assigned to you and the products and series they carry, plus a View in shop button. Their direct contact details aren't shown β you reach them through Messages instead. Message a supplier For Suplery suppliers, the Messages tab holds your whole conversation and lets you write to them β to ask about a product, chase an order, or sort out a problem. Your conversations also gather under Messages in your account menu, with unread counts. External suppliers have no in-app messaging, since they're off Suplery β get in touch using the contact details you saved for them. To message a supplier about one specific order, you can also do it from the order itself β see Track & manage your orders. Invite a supplier to Suplery Work with a supplier who isn't on Suplery yet? Open them and click Invite to Suplery, then enter their email. They'll receive an invitation to join, after which you can order from them directly. - If that email already belongs to a supplier on Suplery, your invite becomes a connection request instead (see below). - If they accept but haven't finished setting up, they'll show as Accepted invitation until they're ready. Connect with a Suplery supplier Some suppliers like to approve you before you can order β a quick check that you're a professional buyer. When that's the case, you Send a connection request (you can add a short message). The status then moves from Waiting for approval to Connected, Declined, or Blocked. Once you're connected, you can order. Archive a supplier To tidy your list, open a supplier, click Action, and choose Send to archive (or Return from archive to bring them back). Archiving only hides the supplier β it doesn't touch your orders or products. Turn on Show archived to see archived suppliers again. FAQ π¬ Why can't I see a Suplery supplier's phone or email? Communication with Suplery suppliers stays on the platform β use the Messages tab on their page to reach them. π¬ Why can't I message an external supplier in Suplery? External suppliers aren't on Suplery, so there's no in-app chat β contact them with the details you saved. π¬ Why did a supplier appear in my list on its own? Suplery suppliers are added automatically once you've placed your first order with them. π¬ What's a Customer account ID? It's the ID a supplier uses to identify your business β a customer code, account number, or buyer ID. Suplery includes it on the purchase orders it sends them. π¬ Does archiving a supplier delete my orders? No. Archiving only hides the supplier from your list; your orders and products are untouched. Running a salon, it's easy to lose track of money on the shelf β products that don't sell, stock that expires, running out mid-service, overbuying, or a supplier quietly eating more of your budget than you realised. Reports turn your inventory and ordering history into plain answers, so you can spot these before they cost you. At a glance you can see where your cash is tied up, what you're wasting, what's about to run out, and how much you're spending and with whom β then drill in whenever a number looks off. Reports read the data you already keep, so the more up to date your stock and stocktakes are, the sharper they get (see Inventory management and Stocktakes). Where to find reports Reports live inside Inventory: open the Reports tab, then use the selector to switch between the Products, Movements, and Suppliers reports. It's not a separate menu β it sits right alongside your inventory. The shape of every report All three reports are built the same way, so once you know one you know them all. Top to bottom: 1. Period β choose Week, Last week, Month, Last month, 90 days, or Custom. Pick it once and it stays applied across all three reports, and every number compares to the previous period of the same length. 2. Headline numbers (KPIs) β about five key figures, each with a small change indicator showing how much it moved since last period. 3. Daily chart β one trend for the period. 4. "Pay attention to" (Health) β short lists of things worth a look, most important first. 5. Table β the full detail, which you can search, sort, filter, and regroup. How to read each part - Headline numbers & change indicators. Each shows the figure plus "vs previous period." - The chart. When you see an area and bars together, that's two different measures on one chart (for example, stock value as an area and daily usage as bars). - "Pay attention to" lists. Each row is a signal with a count and a one-line rule. Click a row to open the full list of affected products in a side drawer (on desktop) or a bottom sheet (on mobile), with a couple of helpful columns. - The table & pivots. Switch how rows are grouped β for example by product, brand, or category β search within that grouping, filter columns by number, and tap a product row to jump straight to its stock history. - What you might see. A brand-new account shows empty sections with a short note; if you haven't entered purchase prices yet, every money figure reads $0 until you add them; and while data loads you'll see placeholder skeletons. π‘ Not sure what a number means? Tap any headline figure for a plain-language explanation of what it is and where to look next. Ask a question, find the answer Reports are built to answer real questions about your business, so the easiest way to use them is to start from what you want to know β not from a number. Pick the period that matches your question, read the change indicator to see the trend, then click into a "pay attention to" list or the table to see exactly which products or suppliers are behind the number. Every headline has detail behind it β follow it. Use case. "My spend jumped last month." Set the period to Last month, check how Spendings moved, then open the Suppliers table sorted by spend to see which supplier and which orders drove it. The three reports and their numbers Three rules run through every figure. Money is what you paid β your purchase price, never retail; a product with no price recorded shows as $0 in a headline number, or β in a table cell. Spend counts when an order is placed, not when it arrives β cancelled orders don't count, and refunds are subtracted. And stock means what's on hand, not what's on the way. Products β what you hold, use, and spend Best for the health of your stock: slow movers, things about to run out, overstock, and urgent reorders. - Inventory value, $ β The value of everything on your shelves right now: each product's on-hand quantity times what you paid for it, added up. Products in negative stock pull the total down, archived products that still have stock are counted, and stock that's only on the way isn't. It's a snapshot at the end of the period you've chosen. - Spendings, $ β How much you spent placing orders in the period β the product value of the orders you placed, at the price you actually paid. Both Suplery and external orders count, and it lines up with the Bought $ column in the table. - Median stock coverage, days β The typical number of days your current stock will last. Suplery works out how long each product will last at its recent usage, then takes the middle value across your products. Using the middle rather than the average stops one extreme item β say, months of disinfectant β from throwing the headline off. - Data confidence, days β How fresh your counts are: the number of days since your last completed stocktake. It's shown as a green, amber, or red status so you can tell at a glance whether a fresh count is overdue. Think of it as the honesty check on every other number. - Cash in slow movers, $ β Money tied up in products that barely move. Suplery looks at your recent sales and in-salon use, finds the products that hardly shift, and adds up their stock value β a good place to look when you want to free up cash. Movements β everything that moved in or out Best for understanding flow and loss. It replaces separate orders and stocktakes reports β filter by movement type to get those views. - Total in β The number of units that came into stock during the period: everything received from orders, returned by clients, or added by a positive stocktake correction. - Total out β The number of units that left stock during the period: sold, used internally, written off, or returned to a supplier. - Total waste, $ β The value of what you wrote off: products lost, damaged, or expired, plus anything a stocktake found missing. Products you sent back to a supplier aren't waste β they went back, they weren't lost. - Total used, $ β The value of everything used in the salon rather than sold β your back-bar and in-service product. - Number of items sold β The number of units sold in the period. It counts units, not sales, so one sale of five units counts as five. Suppliers β who you order from, and how much Best for spend concentration, delivery speed, and suppliers who've gone quiet. - Total number of orders β How many orders you placed in the period. - Total spendings, $ β Your total order spend in the period β the same figure as Products β Spendings, seen from the supplier side. - Number of active suppliers β How many suppliers you had activity with: anyone you placed, received, or returned an order with during the period. - Top supplier share, % β How much of your spend goes to your single biggest supplier. A high number means a lot is riding on one supplier. - Number of order days β The number of separate days on which you placed an order β a quick read on how often you order. Lots of order days can be a sign of frequent small top-ups. FAQ π¬ Where do I find reports? In Inventory β the Reports tab, then switch between the Products, Movements, and Suppliers reports. π¬ Why are all my money numbers $0? You haven't entered purchase prices yet. Reports value everything at what you paid, so add your purchase prices and the money figures fill in. π¬ Why doesn't Spendings match what actually arrived? Spendings counts an order when it's placed, not when it's delivered. What physically arrived shows up in the Movements report. π¬ Is the red or green arrow good or bad? Neither β the change indicator is neutral grey. It only shows how much a number moved, so you can decide what's good or bad for your salon. π¬ Does the period reset when I switch reports? No β the period is shared. Pick it once and all three reports use it until you change it. π¬ What's "Cash in slow movers"? The total value of stock that barely sells or gets used β money sitting on your shelves that isn't really working. A good place to start when you want to free up cash. π¬ Can I see who did what? Overview The SupleryUsers page empowers you to control user access within your company account. This guide will walk you through all the steps to create a secure and efficient work environment by assigning specific roles and permissions to your team members. With this article, you'll be in complete control of your Suplery team and ensure everyone has the access they need to be productive. How to access the Users page To access theUsers page, click on your photo or name in the upper-right corner and choose Users. You'll find a complete list of users, organized by group, showing their personal details, roles, and the last time they logged in. If you're looking for a specific user, just use the search field at the top. User roles Setting up roles for users helps manage access to Company account. Every user role includes a set of rights that provide access to certain features and tools. You can assign to employee one or several roles within Suplery: | Role | Description | | ------------------ | ---------------------------------------------------------------------------------------------------------------------------------------------------------- | | Account owner | Full access to the company in Suplery. There can only be one person in the company. However, this rolecan be transferred to another user. | | Settings and Users | Access to company setup and settings, user management, and role adjustments. | | Orders | Access to create, edit and view orders, communicate with suppliers and work with user carts. | | Inventory | Access to inventory management, product usage history, product archiving, and order viewing. | How to assign roles to a user Assign roles to a user at User invitation. Later, you can add additional roles or edit assigned. Canβt assign or remove roles of specific user? This might be because you don't have the necessary permissions. To assign or remove roles for a user, you must have both the Settings and Users role and all the roles the edited user has. These requirements are the same for any user editing. How to change user role To change the user role: 1. Open the User panel. 2. Check or uncheck the role. 3. Save changes. user role Transfer company ownership to another user The company owner holds all access rights and roles and cannot be removed from the account. Each company can have only one owner, but ownership can be transferred to another user by these steps: 1. Use an owner account to sign in. 2. Pick the user for the ownership transfer and open their profile. 3. Click Transfer ownership next to the checkbox. 4. Enter your password and click Transfer ownership to confirm. Upon this confirmation, the selected user will inherit ownership. Transfer company ownership User groups Arranging users into groups by department makes it easier to manage and understand your organization. It helps visualize the team structure and clarifies each personβs role in the team. It doesn't give users special permissions, but it helps you navigate and simplifies tasks. How to create a group There are two options to create a user group: you can either create a group directly inUsers page or create a group while creating a User invitation. 1. Π‘lick Create group in the upper right part of the screen. 2. In the opened group panel, give the group a name and assign members. To assign group members, click Add user to group and choose users from the list that appears. 3. Click Create group in the lower right corner to confirm. How to edit or delete a group 1. To edit or delete a group, click on Edit near the group name in the user list. Group panel will open. - To edit a group name, type in the new name and click Save group. - To delete a group, click Delete group in the lower left corner. All users from the group will moved to the Without group. How to assign or remove user from group To add or remove a user from a group, you can either edit the group or user panel: Option 1: Edit the group This option is a more simple way to add or remove several users in a line. 1. Click on Edit next to the group name in theUsers page to open group panel. 2. Click Add user to a group and choose who you want to add. Or click Delete at the end of the user's line to remove one. Option 2: Edit the user panel 1. Click the user you want to manage on theUsers page. This will open the user panel. 2. Look for the section labeled Group and assigned roles. 3. Select a group to assign it to a user. Or select the option Without group to remove the user from all groups. 4. Save changes. β β If a user is assigned to a group, adding them to another group will remove the user from the previous group without additional notice. Change user appearance You can edit general user data: first and last name and photo. To make this changes: 1. Click on the user you want to change in theUsers page. This will open the user panel. 2. Change first, last name or photo. 3. Save changes. Note, regardless of a user's role or access level, they can change their own appearance settings. Photo requirements: Minimal size is 64Γ64px, in .jpg, .jpeg, or .png format. Max size is 4000Γ4000, 15 MB. Can't you change the appearance of a specific user? This might be because you don't have the necessary permissions. To change the user appearance, you must have both the Settings and Users role and all the roles the edited user has. These requirements are the same for any user editing. How to suspend and restore user access to your company To turn off someone's access, we simply archive their account. This allows you to keep all their history and data, and easily restore account if needed. How to archive a user 1. Pick the user in theUsers page and click on the name to open user panel. 2. Click Deactivate and archive, then confirm your choice. Canβt archive specific user? This might be because you don't have the necessary permissions. To archive the user, you must have both the Settings and Users role and all the roles the archived user has. These requirements are the same for any user editing. How to find archived users Once you've archived at least one user, the Show archived option will appear at the top of theUsers page. This feature lets you see all archived users, identified by the label Archived next to their names in the list. How to find archived users How to restore user from archive 1. Check Show archived box. 2. Pick the user in theUsers page and click on the name to open user panel. 3. Click Restore from archive, then confirm your choice. Canβt restore a specific user from archive? This might be because you don't have the necessary permissions. To restore the user, you must have both the Settings and Users role and all the roles the archived user has. These requirements are the same for any user editing. FAQ ## How to change user's Email? Only users themselves have the power to change their email and password. To update your own email: 1. Click on your name or picture at the top right of the screen and click on Your account. 2. Click Edit next to the email field. 3. Type in your new email, enter your password, and click Change email. 4. To finish the change, confirm your email with the received letter. ## How to change timezone? The time zone is automatically determined based on your computer's location settings. While it's not possible to manually change the time zone, you can verify if your location settings are accurate and notify us in case of any dismatch. ## Can ownership be transferred to a new or invited user? Ownership cannot be transferred to a user who is archived or does not accept the invitation. ## Can I obtain ownership rights if I am the actual company owner but currently do not have them? Our Terms of service provide several options to obtain ownership of your account. If you can't use the transfer ownership feature, please contact the support team to find other ways to get your rights. ## Do I need to confirm if ownership is transferred to me? No, receiving ownership does not require confirmation. ## If I have two accounts with different emails, can I combine them? No, it is not possible to merge two user accounts. However, you may use one account with one email to access several company accounts. In this case, you will have the opportunity to choose the company account while logging in. ## Can I use different names and photos for different companies? Yes. To keep your personal data safe, you may choose not to show your name and photo while you accept an invitation to a new company. In this case, you will have the opportunity to set up a new name and photo and use different ones in different companies. ## Can I delete a user? No. There is no possibility of deleting a user at Suplery. To remove userβs access, archive them. ## Can I change the other userβs email? No. Only users themselves can change their emails and passwords.
