User management

3. Users & permissions

Suplery lets you add your whole team and decide exactly what each person can do β€” from running inventory, to placing orders, to managing the company itself. You'll do all of this in Users, which you open from the avatar menu in the top-right corner. (Only the account owner and people with the Settings and Users role see it.) The Users page Here you'll find everyone connected to your business: active users, people you've invited but who haven't joined yet, and β€” if there are any β€” archived users. You can search by name or email, and each row shows the person's name, contact email, the roles they have, and when they last logged in. - People you've invited show an Invited badge with a Resend link until they accept. - Archived users are hidden by default β€” turn on Show archived to see them. πŸ’¬ Every user β€” whatever roles they have β€” can browse the Shop, see your product list, and add items to their personal cart. The roles below add abilities on top of that. Roles: what each one can do A user can have any combination of these roles. Each one unlocks a part of Suplery: - Inventory β€” full work with inventory: add and edit products, see product usage history, archive products, run stocktakes, and view orders. (It does not include the Suppliers tab or creating suppliers and external orders β€” that's the Orders role.) - Orders β€” create, view, and edit orders, including external orders, message suppliers, and turn a cart into an order. Adds the Orders menu item, the Suppliers tab, and Messages. - Settings and Users β€” opens company Settings and the Users page, and adds those items to the menu. - Owner β€” has every role. There's one owner per company, and ownership can be transferred (see below). πŸ’¬ What can a user do without the Orders role? They can still fill their personal cart β€” they just can't check out. Instead, they share the cart with someone who can place the order. See Share product lists. ⚠️ You can't change your own roles. Ask the owner, or someone with the Settings and Users role, to adjust them for you. What a "Settings and Users" admin can and can't do The Settings and Users role lets someone manage your team β€” but with one guardrail, so an admin can't quietly hand themselves more power than they were trusted with. The rule is simple: **An admin can only invite, edit, archive, or restore users whose roles are the same as β€” or fewer than β€” their own.**They can't give out a role they don't hold themselves. For example, an admin with Orders + Settings and Users can manage a user who has Orders (or Orders + Settings and Users), but not a user who also has Inventory β€” because that admin doesn't have the Inventory role. πŸ’¬ Why is this person's drawer read-only? You're looking at someone whose roles you don't fully have, so you can see their details but can't change them. Only the owner β€” or an admin who holds all of that user's roles β€” can edit them. Invite your team 1. On the Users page, click Invite users. 2. Enter one or more emails. Separate several with commas or spaces to invite them all with the same role and group. 3. Choose their Roles and a Group β€” both optional. You can always set roles later. 4. Inviting another batch with different roles or a different group? Click + Add another to add a second set in the same window. 5. Click Send invitations. You'll see a "[N] invitations sent" confirmation. The people you invite appear with an Invited badge until they accept. They receive an email and join from there β€” see the Accepting an invitation section of Your account & your businesses. ⚠️ A 5-user limit applies until your business is verified. Before verification, you can have up to 5 users total β€” including the owner, and counting active users, archived users, and pending invites together. Once your business is verified, you can invite as many people as you like. See Get started & verify your business. πŸ’¬ Resends are limited. You can resend an invitation only a set number of times. A tooltip shows how many resends you have left, and resending stops once you've used them up. Organize users into groups (optional) Groups simply tidy your user list by department β€” they don't change anyone's access. - Create one with Add group. A panel opens where you name the group and add or remove users (and pending invites). You can rename or delete the group from the same panel. - Anyone not in a group sits at the top of the list under Without Group. - You can also move someone into a group β€” or create a new group on the spot β€” from inside their drawer. Manage a user Click anyone in the list to open their drawer. From there you can change their roles, move them to a different group, or deactivate (archive) them. If you don't have the rights to edit them, the drawer opens read-only β€” see the guardrail above. Transfer ownership Only the owner can transfer ownership β€” for example, when handing the business to someone else. Open that person's drawer and click Transfer ownership (next to the Owner role). Confirm in the window that appears and enter your current password. The new owner receives every role. 🚫 Transferring ownership hands over full control of the company. There's only ever one owner, and you can't transfer ownership to someone who is archived or still has a pending invitation. What if someone else is the owner β€” but the business is yours? If you own or legally run the business and another person currently holds the owner account, you can claim ownership. Contact support to start a claim. We'll ask for documents showing you're entitled to it β€” such as your articles of organization (or similar) β€” along with documents that confirm your identity. ⚠️ While we review your claim, the current owner keeps full rights β€” including the ability to delete the entire company account. It's worth checking who owns your account before a problem comes up, rather than after. Archive, restore, and remove people - Deactivating (archiving) a user keeps their history but removes their access. Turn on Show archived to see archived users, then open one and click Restore from archive to bring them back. - You can also cancel a pending invitation, which makes the invite link stop working. - Only the owner and admins with sufficient roles (see the guardrail above) can archive, restore, or cancel invitations. ⚠️ You can't deactivate the owner. If the owner is leaving, transfer ownership to someone else first, then archive the old account. FAQ πŸ’¬ Someone I invited never got the email β€” what now? Ask them to check their spam folder, then use Resend next to their name on the Users page. (Remember, resends are limited.) 4. Your account & your businesses

Your Suplery account is yours β€” separate from any single business. You sign in once, and you can belong to more than one business with the same login. This article covers your personal profile, how one login works across several businesses, switching between them, and accepting an invitation to join one. You'll find all of it under Your account in the avatar menu, top-right. Your profile Open the avatar menu and choose Your account. From here you can update: - First name and Last name - Photo β€” Upload photo, or Remove the current one. - Email β€” click Edit to change it. We send a confirmation link to the new address, and the change only takes effect once you click that link. - Password β€” click Change password. - Timezone β€” set automatically to match your device. πŸ’¬ Changed your email by mistake? The change isn't final until you click the link in the confirmation email. Until then you can cancel it, and your current email keeps working. Your roles are view-only here Your account screen shows the roles you have in the business you're currently in β€” but you can't change them yourself. Only the owner, or an admin with the Settings and Users role, can adjust what you're able to do. See Users & permissions. One login, many businesses If you work with more than one business on Suplery, you use the same email and password for all of them β€” there's just one login to remember. What can differ is how you appear in each one: - Your email and password are shared across every business you belong to. - Your name and photo can be set separately for each business, so you show up the way that business knows you. πŸ’‘ Changing your email or password changes it everywhere you sign in. Changing your name or photo only affects the business you're currently in. Switch between businesses Open the avatar menu. At the top, you'll see your current company name β€” open it to see the other businesses you belong to, and click one to switch to it. Create another business Need a separate business on Suplery β€” for example, a second location or a different company? You can set one up with the login you already have. Go to the sign-up page and enter your existing email and password. Because you already have a Suplery account, you'll be asked whether to create a new business or log in to your current one β€” choose Create. The new business is added to the ones you can switch between. πŸ’‘ A new business starts fresh β€” its own inventory, team, and verification β€” but your login stays the same. Like any business, it needs to be verified before it can buy. See Get started & verify your business. Accepting an invitation When a business adds you to their team, you'll get an email invitation. - Open the email and follow the link to join. - New to Suplery? Set your name and a password, and you're in. - Already use Suplery? You can reuse your existing name and photo, or set new ones just for this business. Either way, your email and password stay the same. πŸ’¬ You don't need a second account. If you already use Suplery, accept the invitation with your existing login β€” the new business is simply added to the ones you can switch between.
