Keeping your shelves stocked and organized is crucial for any beauty business. Suplery offers a comprehensive inventory management system to help you effortlessly track your inventory.
Within the dedicated Inventory page, you'll find three key tabs to organize and track everything: Products, Stocktakes, and Suppliers. This article will show you how to navigate each tab to manage product details, quantities, order history, and more.
How to add product to inventory
Getting started with your inventory in Suplery is easy. Here are the two ways to add products:
Manually pick from the list: Suplery already has all the products you need. Just browse and choose the ones you want to add.
Order and add: place an order for new products, and they'll automatically pop into your product list, saving you time.
Adding products manually
Open the Products tab. This is where you'll manage your inventory items. Since you're new to Suplery, it likely won't have any products yet.
Сlick on the Action button and then + Add products in inventory.
You'll see a list of all available products in Suplery that are not yet in your inventory. You can use the search field or sort by brand and type (e.g. L'Oréal hair care) to find the products you need.
Select the products you want to add. You can check the Product checkbox to select all products from the current search results.
Double-check the number of products you're adding to make sure it matches your selection (e.g., only hair care products).
Click Add X products to inventory to add the products to your list.

The product you're looking for isn't available yet. To add it, contact our content team: click Couldn't find product at the bottom of the list of available products.
Adding product through external order
Order from an external supplier like Amazon and want to keep track in Suplery? No manual addition is needed. Suplery automatically adds those products to your inventory list when you receive a new external order.
Click Create new order and then Create a new external order.
You can also add other products to the order if needed. Just find them using the Add other products option and check the boxes next to the items you want. Enter the quantities you're ordering and click Add X products to the order.
Click Create external order. It will create a planned external order. At this step, products have not been added to the inventory yet.
Once products from your order arrive, click Receive to add the products to your inventory.
How to change stock quantity
The stock levels you have in Suplery should always match how many products you actually have. This helps you track usage and avoid stock issues.
Stock levels update automatically when you receive orders or do stocktakes. But you may need to adjust the product quantity for another reason:
Find the product to adjust in the product tab. Use the search bar in the upper-left corner for quicker access.
Use the increase + or decrease - buttons to make adjustments.
Enter the number of products and pick a reason from the list.
Save your changes.

Why I cannot sell specific product?
You can't sell a product labeled as professional by the supplier. These products are allowed only for use, not reselling, and are marked “professional” on the product panel.
How do I cancel or change a stock quantity adjustment?
To change or cancel a stock adjustment, open the stock history in the product tab and click on the operation you want to edit. Then make the necessary changes or cancel them in the Edit adjustment panel.
Product panel
Product panel shows all information about the product, including its name, image, ingredients, barcode, how to use directions, and other details. To open it, click on the product in product tab.
With the product panel, you can change the stock quantity, just like it works with adjusting stock levels in the general product list. Also, you can access Stock history tab to see the list of all operations with the product, including placed but not delivered orders.

Product stock history
Suplery inventory management tool keeps history about every product adjustments. This means you can see timing and detailes of every change. To access this information:
Click on the product in your product list to open its panel.
Scroll down a bit and choose Stock history tab. It contains list of all operations done with the product, for example, ordering or selling.
Change the date range to see history for a specific period.
Every operation in product history contains information about:
the date it was done;
its content or reason, for example, order, stocktake, or sale;
the user who did the last update;
the adjustment quantity;
the stock level after adjustment;
and details about other products included into the operation in case of an order or stocktake.

How to change stock adjustment date?
Find the stock adjustment you want to change in the product stock history and click on it. Then edit the necessary details (date, type or/and amount) in the opened Edit adjustment panel.
How to delete stock adjustment?
To delete stock adjustment, find the stock adjustment you want to delete in the product stock history. Then click on it. Choose Delete and confirm.
Upcoming orders
If you see Upcoming instead of a date in Stock history, it means you ordered the product but haven't received it yet. It helps you plan the next orders and understand what is expected to arrive.
How to archive product
Select the product you want to archive from your product list.
Click on the product to open its panel.
Click on Action button , then pick Send to archive.
Confirm the changes to archive the product.
How to find archived products
Once you have archived products, a Show archived checkbox will appear in your product list next to the search field.
Activate the Show archived checkbox to see archived products. These will be highlighted in a lighter gray compared to active products.
What does Archive with stock mean?
Archived with stock means a product you tried to archive still shows up because you have some stock in your storage. These archived items can still be used, but cannot be reordered from the supplier again. To completely remove the product from your list, you need to reduce its stock quantity to zero.
How to restore product from archive
Make sure the Show archived checkbox is selected.
Find the archived product you want to restore using the search field.
Select the product you want to archive from your product list.
Click on the product to open its panel.
Click on Action button , then pick Restore from archive.
Confirm the changes.
Invite the supplier of your product to Suplery
To simplify the ordering process through Suplery, easily ask the supplier to join the marketplace. Invite the supplier right from the product card itself:
Check the product panel and click Invite to Suplery. This button only appears if the current supplier isn't already on the Suplery marketplace.
Type the supplier's email address and click Send invitation.
