Not everyone on your team needs to place orders — but everyone runs low on things. Shared product lists let a team member who can't place orders pick what they need and hand the list to a colleague who can, so specialists flag their refills and one person places the order.

Do you share, or check out?
It comes down to one button in your cart:
If you can place orders, your cart has a checkout button (→ LINK Order from the Shop [to Order from the Shop]).
If you can't, that button is replaced by a share button.
You'll have one or the other, never both.
Share your product list
If you don't have permission to place orders:
Browse the Shop and add products to your cart as usual — everything about the cart itself is in LINK Order from the Shop [to Order from the Shop].
Open your cart and use the checkboxes to choose which suppliers to include.
At the bottom, the button reads Share all as product list, $[total] — or Share all with [Name] when there's only one colleague who can order (and Share selected… when you've picked just some suppliers). Click it.
In the Share product list window, choose who to Share products list with (a dropdown — it remembers the last person you shared with), add a Comment for [Name] (optional) explaining what you need, and click Share products list with [Name].
💡 Use case. A lash tech is down to her last few adhesives and pads — she ticks those suppliers, adds a note ("running low, need these this week"), and shares the list with the salon owner. No back-and-forth texts, no forgotten items.
💬 Can I share with more than one person? You share with one colleague at a time. To hand it to someone else instead, reassign it (below).
After you share
The products leave Your cart and move to the Shared product lists tab, where you'll see your name, your comment, and the same supplier blocks. From there you can keep shopping and share again, or Reassign the list to a different colleague — as the person who created it, you can change both the recipient and the comment, then click Update product list.
Receive a shared list
If you can place orders and a teammate shares a list with you:
You'll get a notification that they've shared a list.
Open your cart — the Shared product lists tab shows a badge with how many lists you've received. Each one shows who it's from, their comment, and the products grouped by supplier.
Choose what to do:
Add to my cart — the products join your cart so you can review and order them. The button then flips to Exclude from my cart, and you'll see "Products list added to your cart."
Reassign — forward the list to another colleague who can order. As the receiver, you can change the assignee only, not the comment. Click Update product list to confirm.
Added a list by mistake? Exclude from my cart takes those products straight back out.
Shared products in your cart
Once you've added a shared list, its products sit in your cart alongside anything you added yourself, with a couple of helpful cues:
Each product carries a badge showing who added it — your initials and the sender's.
If you both added the same product, you'll see separate quantity columns, one per person, so you decide the final amount to order.
You're never locked into the request — change quantities, remove products, or skip suppliers entirely before you order.
Ordering closes the list
When you place an order that includes shared products, that shared list disappears from both your Shared product lists tab and the sender's — so they know their request has been handled. And when that order is delivered, the person who shared the list is notified that their products have arrived, so whoever asked for the refills knows they're in.
A few things worth knowing:
You don't have to order everything on the list — adjust quantities, drop items, or skip suppliers.
Even if you change things after adding them, the list counts as processed once you check out.
The sender simply sees that the list was handled, not a line-by-line breakdown of what you ordered.
When something changes before you share or order
Suppliers and stock can shift between adding products and sharing or ordering them. Suplery keeps the list accurate and tells you when something's changed:
⚠️ A supplier's status changed — if a supplier now needs a connection request, or has blocked or declined you, you'll see a "[supplier] status has been updated" notice and the cart refreshes. Check it, then carry on.
Some items are no longer available — if a supplier has fewer units than you asked for, the Some items are no longer available window appears; set new amounts and click Set a new quantity and continue.
Reassigning to someone who can't order — if the colleague lost the ability to place orders or was archived, you'll see "User doesn't have Orders role anymore" or "The user has been archived." Just pick someone else.
Both of you can work on a shared list at the same time; if your changes overlap, the most recent one wins.

💬 Why do I see a share button instead of checkout? Because your role doesn't include placing orders. You can still build lists and share them — see LINK Users & permissions [to Users & permissions].
